Q: I was just involved in an accident with a CCSD vehicle, what do I do?
Contact your supervisor and Risk Management Department immediately. Give
precise location information. Have your department notify law enforcement. Try
to get as much information as possible about the other party involved in the
accident. Do not discuss fault with anyone other than law enforcement and Risk
Management representative. Make sure you complete a CCF-102 within 24hrs of the
accident. Refer any questions regarding property damage or injury to Risk
Management.

Q: Does the CCSD provide any insurance when I use my personal car on CCSD
business?
No, when an employee uses their personal vehicle for CCSD business they are
obligated to provide personal insurance coverage on the vehicle as required by
law. This expense is taken into consideration with the mileage rate used to
reimburse the employee when completing a CCF-174, Travel Advance/Expense Form.

Q: How do I rent
a vehicle to use on CCSD business?
Contact CCSD Purchasing Department to determine who the currently approved
vendors. These are different for "within" and for "outside" the state. The school district is offered
a special rate which includes insurance coverage per a negotiated contract. Only
approved vendors should be used.
NOTE:
Under no circumstances should a 15 passenger van be rented or used.

Q: Is my personal computer or other equipment covered if I use it at work?
The negotiated agreements between the employees and CCSD offer some coverage
for personal items. This coverage is in excess of any personal insurance that
would cover the items. For additional information, please see the information
regarding personal property of employees in the Risk Management Department
Procedure Manual.

Q: Is CCSD property covered for losses when it is in my home or my personal
vehicle?
CCSD property is self-insured through district funds with an excess property
policy which covers losses of over $100,000. However, when the property is off
site and in someone else’s care, then the personal policy(ies) of the person
would be primary.

Q: Is property leased or rented by my department covered under the CCSD Property
Insurance?
It would depend on the contract between CCSD and the person who
actually owns the property. The Legal Department should review any contract
signed by the district and if there are questions of coverage, Risk Management
will review the contract as well.

Q: Our department recently purchased $20,000 worth of computers; how do we add
these to the property insurance?
As long as CCSD has a record of receipt of the specific items, including
serial numbers, they would be covered by the property insurance pursuant to the
excess insurance policy specifications. All components of computer systems must
be listed in the site inventory records.

Q: We had
water damage from a broken pipe; what do we do?
Contact Maintenance immediately so the situation can be assessed and
mitigation can begin. Notify Risk Management if a large area or dollar amount of
damage exists. Inventory all lost or damaged items. Notify your region and your planner of the loss and document all
work orders and other repair costs. Once the work is completed, forward all
documentation to the Region for review. The Region will forward to Risk
Management for possible reimbursement. When in doubt, call Risk Management for
information.

Q: We sustained damage to CCSD equipment during a fire; what do we do?
Once the Fire Department clears the area, use the same procedures as if you
sustained a water loss (see above).

Q: A parent is questioning who will pay the medical bills for an injury to their
child which happened on school grounds or during school sponsored activity; what
do we say?
Refer the parent to Risk Management so we can answer questions and forward a
claim form. Contact Risk Management and advise us of the situation and facts of
the injury. Be sure the
accident
report form (CCF-620) was forwarded at time of accident. We will indicate
what information will be necessary to complete our investigation and determine
coverage.

Q: A
visitor falls coming into the school. What do we do?
Call Risk Management immediately if there is a substantial injury. Whether
there is an injury or not, do the following: Download and complete the CCSD
Notice of Accident, Personal Injury/Property Damage form from this website and
forward immediately to Risk Management. Identify witnesses, secure written
statements from them, and contact Maintenance if any unsafe condition exists.
Photos of the alleged incident are also extremely helpful. Forward all
information to Risk Management.
